PRIVACY POLICY
Effective date: 23 September 2026

• supply documents or information for us to work with; or
• otherwise deal with CBS.
We handle personal information in accordance with the New Zealand Privacy Act 2020 and other applicable New Zealand privacy obligations.
2. Information we collect directly
Depending on how you interact with CBS, we may collect:
• your name;
• email address;
• telephone number;
• business name and business contact details;
• billing and invoicing information;

We ask that you provide only information reasonably necessary for the relevant enquiry, purchase or agreed work.
Please do not send passwords through ordinary email, website messages, social-media messages or other unsecured channels. If CBS genuinely requires access to a third-party system, authorised or delegated access should be used where the system supports it.
3. Information collected indirectly
CBS may sometimes receive personal information about an individual from someone other than that individual. This may occur when:
• a business client supplies documents or records needed for agreed administration work;
• an authorised representative contacts us on someone’s behalf;
• Wix supplies website, form, customer or order information;
• Stripe supplies transaction or payment-status information;
• a communication platform supplies account or message details; or
• information is lawfully available from another source for a legitimate business purpose.
Where the Privacy Act 2020 requires it, CBS will take reasonable steps to ensure that an individual is made aware that their information has been collected indirectly, why it has been collected, who will receive it, and their rights of access and correction. Applicable statutory exceptions may apply.
4. Client files and third-party personal information
While providing administration support, CBS may encounter information relating to a client’s:
• customers;
• workers or employees;
• contractors;
• suppliers;
• quotes, jobs and invoices;
• financial administration;
• workplace documents;
• health-and-safety administration; or
• SiteWise-related administration.
CBS will use this information only as reasonably necessary to perform the agreed work, administer the client relationship, comply with the law or address another lawful business need.
Clients must ensure that they are lawfully entitled to provide CBS with personal information and client documents and that supplying the information is consistent with their own privacy obligations.
Clients should avoid supplying unnecessary personal information and should tell CBS if documents require particular handling or contain especially sensitive material.
CBS provides administrative assistance. It does not provide accounting, legal, tax, employment, financial, health-and-safety consultancy or other regulated professional advice.
5. Website and Wix Store information
The CBS website and online store operate through Wix.
When you visit or use the website, Wix may collect or generate technical information such as:
• your IP address;
• browser, device and operating-system information;
• session and security information;
• pages viewed and interactions with the website;
• approximate location derived from technical information;
• shopping-cart, checkout and order activity;
• form submissions;
• account or member information, if applicable; and
• technical logs used to operate, secure and troubleshoot the website.
When you place an order, CBS may receive information made available through Wix, including your name, email address, telephone number where supplied, billing details, products purchased, amounts, currency, tax information, order status and payment status.
6. Payments and Stripe
Online payments are processed using Stripe through the Wix checkout environment.
CBS may receive or access:
• the amount and currency paid;
• the date and status of a payment;
• the related order or transaction reference;
• billing and customer contact information supplied at checkout;
• refund or payment-failure information; and
• limited information about the payment method where made available through Wix or Stripe.
CBS does not receive or store customers’ complete payment-card numbers or CVVs.
Payment-card information is entered into and handled by the relevant payment provider and platform under their own terms and privacy practices.
7. Why we collect and use information
CBS may collect and use personal information to:
• respond to enquiries;
• communicate with customers and clients;
• provide quotes and define the scope of work;
• supply purchased digital products;
• provide one-off or ongoing administration support;
• process and administer orders, payments and refunds;
• prepare invoices and maintain business and tax records;
• customise documents or complete agreed administration tasks;
• manage customer accounts and service plans;

• diagnose technical, file-access or delivery problems;
• protect the website and CBS systems from misuse, fraud or security threats;
• improve the website, products and services;
• manage complaints, disputes or legal claims;
• comply with legal and regulatory obligations; and
• carry out another purpose authorised by the individual or permitted by law.
CBS will not use personal information for an unrelated purpose unless that use is authorised or permitted by law.
8. Cookies and similar technologies
Wix uses cookies and similar technologies to operate and secure the CBS website and store. These may support functions such as:
• maintaining website sessions;
• remembering shopping-cart activity;
• processing checkout activity;
• detecting fraud or misuse;
• balancing website traffic;
• remembering applicable settings; and
• providing Wix’s website performance or platform analytics.
At the effective date of this policy, CBS had not separately configured Google Analytics, Google Tag Manager, Meta Pixel or another separately installed advertising or analytics tracker on the public website.
Cookie and tracking technologies may change if CBS changes its Wix configuration or adds a new service. This Privacy Policy will be updated if materially different analytics or advertising technologies are introduced.
You can control cookies through your browser and through any cookie controls displayed on the website. Blocking essential cookies may prevent parts of the store or checkout from working correctly.
9. Service providers and disclosure
CBS does not sell personal information.
CBS may disclose personal information where reasonably necessary to:
• Wix, for website, form, online-store and order functions;
• Stripe, for payment processing and transaction administration;
• providers used for email, communications, file handling, security or ordinary business technology;
• professional advisers where advice is reasonably required;
• government, regulatory, law-enforcement or dispute-resolution bodies where disclosure is authorised or required by law;
• a person authorised by the relevant individual or client; or
• another party where necessary to protect lawful rights, safety or property.
CBS will limit disclosures to information reasonably necessary for the relevant purpose.
CBS currently has no other staff or contractors who routinely access client personal information. If this changes, people given access will be expected to handle information confidentially and only for authorised purposes.
10. Overseas processing and storage
Wix, Stripe and other technology providers may process or store information outside New Zealand or use overseas service infrastructure.
Where personal information is disclosed outside New Zealand, CBS will take reasonable steps required by the Privacy Act 2020 to ensure that the information is adequately protected. Different rules may apply where an overseas provider processes information solely on CBS’s behalf rather than using it for its own purposes.
The countries involved may vary according to the provider’s systems and infrastructure.
11. Security
CBS takes reasonable safeguards appropriate to the circumstances to protect personal information from loss, unauthorised access, misuse, alteration or disclosure.
These safeguards include access-protected devices, restricting access to people who need it, using established website and payment platforms, and securely deleting or disposing of information where appropriate.
No internet transmission, email account, device or storage system can be guaranteed completely secure. CBS therefore cannot promise that a privacy or security incident will never occur.
Customers should use suitable security precautions when sending information and should not send passwords through ordinary email or messaging.
12. Retention and deletion
CBS retains personal information only for as long as reasonably necessary for:
• providing products or services;
• completing agreed administration work;
• ordinary customer and business administration;
• tax, financial-record and other legal obligations;
• handling complaints or resolving disputes;
• protecting or enforcing legal rights; or
• another lawful purpose.
Different categories of information may need to be retained for different periods. CBS does not apply a single retention period to every type of information.
Completed work will be returned or supplied to the client as appropriate. Unnecessary working copies and personal information that are no longer reasonably required will be securely deleted or disposed of where appropriate, subject to legitimate legal and business retention requirements.
Deletion may not be immediate where information remains in backups, transaction records, security logs or systems operated by third-party providers.
13. Access and correction
You may ask CBS to confirm whether it holds personal information about you and request access to that information.
You may also ask CBS to correct personal information that you believe is inaccurate, incomplete or misleading.
Requests should be sent to:
Privacy Officer: Jenny Clendon
Email: jennyclendon@gmail.com
CBS may need to verify your identity before releasing or correcting information. Any applicable grounds for withholding information will be handled in accordance with the Privacy Act 2020.
If CBS does not make a requested correction, you may ask for a statement of correction to be attached to the information where the Privacy Act provides that right.
14. Privacy breaches
If CBS becomes aware of a privacy incident, it will take reasonable steps to:
• contain and investigate the incident;
• reduce potential harm;
• recover or secure information where possible;
• assess whether serious harm has occurred or is likely;
• document and respond to the incident; and
• make notifications required by the Privacy Act 2020.
Where a breach is notifiable, CBS will notify the Office of the Privacy Commissioner and affected individuals as soon as reasonably practicable, subject to any lawful exceptions.
15. Privacy complaints
If you have a concern about how CBS has handled personal information, please contact the Privacy Officer first:
Jenny Clendon
Email: jennyclendon@gmail.com
CBS will consider the concern and respond within a reasonable time.
If the matter is not resolved, you may contact the New Zealand Office of the Privacy Commissioner through www.privacy.org.nz.
16. Privacy Officer
Jenny Clendon is the CBS Privacy Officer and is responsible for privacy enquiries, access and correction requests, complaints and coordination of privacy-breach responses.
17. Changes to this policy
CBS may update this Privacy Policy to reflect changes in its services, technology, legal obligations or information practices.
The current version will be published on the CBS website with its effective date. Material changes will apply from the stated effective date and will not authorise an unlawful use of information previously collected.
